Gubo Books is provided and operated by Gubo Group (Pty) Ltd t/a Gubo Technologies ("we", "us", "our"). Our contact details are set out in section 18.

Subscription and payment information

Where applicable:

  • usage information necessary to operate, secure and troubleshoot the service

5. Information about other people

Businesses using Gubo Books may enter personal information belonging to their customers, suppliers, employees or other contacts. The customer business is responsible for ensuring it has appropriate authority or a lawful basis to provide that information to Gubo Books.

We use information for legitimate purposes, including:

  • providing and operating Gubo Books
  • creating and managing accounts
  • providing accounting functionality
  • processing subscriptions
  • verifying payments
  • providing customer support
  • sending transactional and service emails
  • security and fraud prevention
  • troubleshooting
  • maintaining and improving the service
  • complying with legal obligations
  • enforcing our Terms of Service

We do not sell personal information, and we do not use it for unrelated advertising.

7. Legal basis for processing

The lawful basis we rely on depends on the processing activity and the applicable law. It may include:

  • legitimate business interests, where legally permitted
  • consent, where consent is required

Not all processing is based on consent.

8. Customer Data and roles

Businesses retain ownership of their Customer Data. Depending on the processing activity, we may act in different data-protection roles. Where personal information contained in Customer Data is processed on a customer's instructions, additional data-processing terms or a data processing agreement may apply. This section should be read consistently with our Terms of Service.

9. Sharing and service providers

We share information only where reasonably necessary with service providers that support functions such as:

  • cloud hosting and infrastructure
  • authentication
  • email delivery
  • storage
  • security
  • technical operations
  • other necessary platform services

Service providers should receive only the information necessary for their role and should be subject to appropriate confidentiality and security obligations.

We may also disclose information where required by law, regulation, court order or a lawful authority.

10. International processing and transfers

Our cloud and service providers may process information outside your country. When personal information is transferred internationally, we will take the appropriate measures required by applicable data-protection law.

We retain information only for as long as reasonably necessary for:

  • contractual obligations
  • accounting and legal requirements
  • dispute resolution

  • legitimate recordkeeping

Different categories of information may have different retention periods.

  • withdraw consent where processing relies on consent
  • raise a privacy concern or complaint

14. Account deletion

You may request deletion of your account. Deletion is subject to legal retention requirements, accounting and contractual requirements, legitimate recordkeeping obligations, the rights of other users and business owners, and applicable law. Some records may therefore be retained after an account is closed.

15. Cookies and similar technologies

The website and application may use cookies or similar technologies necessary for authentication, security, remembering preferences, session management and essential operation.

16. Children's privacy

Gubo Books is a business accounting service and is not intended for children.

17. Changes to this Privacy Notice

We may update this Privacy Notice from time to time. Material changes will be communicated appropriately. The current version and effective date are shown at the top of this page.
